Terms of Service

1. Who we are

Rotabook (“Rotabook”, “we”, “us”) is shop-operations software for Indian retail — attendance, payroll, leave, daily tasks, stock, expenses, and billing — operated from Tamil Nadu, India. These terms are an agreement between Rotabook and the business that subscribes to it (“you”, the “customer”). By subscribing to or using Rotabook, you accept them.

2. The service

Rotabook is subscription software. It is installed on a computer at your premises and run by your own staff. Some parts of the service — licensing, subscription management, and payment collection — run online. We install the software, set it up with you, and provide support while your subscription is active.

3. Your account

Every Rotabook installation has an owner account, which controls staff logins and permissions. The owner is responsible for keeping credentials safe, for deciding who on their staff can access what, and for activity that happens under the accounts they create. Tell us promptly if you believe an account has been misused.

4. Subscription and billing

Rotabook is billed monthly, in advance. Subscriptions are managed through Chargebee and payments are collected through Razorpay, using UPI AutoPay, cards, or other methods Razorpay supports. We do not see or store your card or UPI details.

If a renewal payment fails, we will retry and let you know before access is affected. If we increase the price of your subscription, we will give you at least 30 days’ advance notice; the new price applies only from your next renewal after that notice, and you can cancel before it takes effect. Taxes, where applicable, are charged in addition at the prevailing rate.

5. Acceptable use

Use Rotabook only for running your own business, and only lawfully. You may not resell, sub-license, or share your subscription with another business; copy, modify, or reverse-engineer the software; or use it to break the law, including employment and data-protection law that applies to the staff records you keep in it.

6. Your data

Your business data is yours. Attendance records, salaries, staff details, stock, expenses, and bills entered into Rotabook belong to you, not to us. Because Rotabook runs on your own computer at your premises, that operational data lives on your own systems — it is not uploaded to us. How we handle the limited data we do hold (billing and contact details) is described in our Privacy Policy.

You are responsible for the accuracy of the data your team enters and, with our help configuring it, for keeping backups of your installation.

7. Availability

We work to keep Rotabook running reliably, but we do not promise the service will be uninterrupted or error-free. Because the software runs on your own hardware, its availability also depends on things outside our control — your computer, power, and network. The service is provided “as is” to the fullest extent permitted by law.

8. Limitation of liability

To the extent permitted by law, Rotabook is not liable for indirect or consequential losses — lost profits, lost business, or loss of data caused by hardware failure at your premises. Our total liability for any claim arising out of the service is limited to the subscription fees you paid us in the three months before the event giving rise to the claim. Nothing in these terms limits liability that cannot be limited under Indian law.

9. Termination

You can cancel anytime; cancellation takes effect at the end of your current billing period, and you keep access until then. We may suspend or end your subscription if you materially breach these terms or if payment remains unpaid after reasonable notice. Either way, because Rotabook runs on your own systems, your operational data — attendance, payroll, and billing records — remains with you after cancellation. Rotabook retains only the billing and invoice records of the subscription itself, as required under Indian tax law.

10. Changes to these terms

We may update these terms from time to time. If a change is material, we will tell you before it takes effect — by email or inside the product. Continuing to use Rotabook after a change takes effect means you accept the updated terms.

11. Governing law

These terms are governed by the laws of India. Any dispute is subject to the exclusive jurisdiction of the courts of Tamil Nadu, India.
